In a world full of apps, people now don't have the patience to wait for anything.

Today’s users prefer quick booking, whether it's a table booking or ordering food. We developed a restaurant booking app for our client to allow users to book their favorite table.

Through this app, diners can reserve tables, join waitlists, and get reminders when there is a slot available.

Users can also book tables in advance with date and time filters on special occasions. Plus, they can also ask the restaurant to decorate the table on birthdays, anniversaries, and more.

Business Problem

Our client runs a restaurant in multiple locations and already has a loyal customer. Since some time, they noticed longer waiting times and confusion in table booking, which eventually turned negative.

Their current method of booking was through phone.

The customer used to call them and tell number of persons, the time, and the date of the visit. This was causing double bookings, delays and many inconveniences in seating arrangements.

Especially during festival time and peak hours, things were getting hectic as customers came to the restaurant early, expecting there was a vacant table, but it already had a phone booking.

Customers were going back sad and unsatisfied due to this operational method.

Also, the process of cancellation was time-consuming and was not organized as there was no records of who cancelled.

The Big Idea

The idea behind this restaurant reservation app was to make the restaurant booking smooth and give guests a better dining experience.

Earlier, if a customer was running late, wanted to change their table, or needed to cancel, the process was slow. Staff used to pass messages manually.

With this restaurant booking app development, customers don't need to wait or call the restaurant to book a table.

They can check real-time availability, reserve their spot instantly, and even make changes if their plans change.

The restaurant table booking app will show the number of bookings and waiting times with the time estimate, so customers can easily schedule a booking at a specific time or cancel.

Regular visitors can also save their preferences, like favorite seating or mention special requests on the table booking app on occasion, like date, anniversary, or birthday.

This restaurant booking app helps customers to get a confirmed table booking by paying a suitable percentage of advance.

Customers can check table availability by browsing through dates and times and get a table reserved in seconds and even modify or cancel bookings. During peak hours, users can join a digital waitlist and receive instant notifications when their table is ready.

Other than this, the app also has powerful features like live table management, POS integration, customer profiles and an admin dashboard with analytics.

It's connected with multiple restaurant chains and local food providers for clients, hence the customer in the city can find their franchise and also enjoy food there.

Our Process

We focused on digital-first and user-first while creating this app to make sure we perfectly align with solutions and solve the restaurant booking problem.

  1. User Research: We started with detailed research and interviewed restaurant staff, managers, and regular diners to understand their challenges. We also observed peak hours to see where delays and miscommunication happened most.
  2. UI/UX design: Our designers focused on easy booking while creating the app UI/UX, and kept the design easy to navigate for booking.
  3. Integration planning: To make sure everything is synced at one location, our developers integrated the app with POS systems, payment gateways, and calendars.
  4. Iterative testing: After development, our QA and testing team tested each module of the app thoroughly and released a beta version of the app to test features like waitlists, notifications, and cancellations based on live feedback.
  5. Responsive deployment: After the positive response from the beta version and some minor refinement, we released the full app on the App Store and the Play Store.

Challenges

Real-Time Sync Across Locations: As the client operates multiple locations, we needed to make sure bookings from multiple branches don't overlap if the customer name or order is the same. This required a system that updated availability instantly across all locations.

Handling Last-Minute Changes: Customers often canceled or didn’t show up, this needed a system that immediately frees up the table if the customer dont arrive within a suitable time.

POS and Calendar Integration: Connecting the app with existing POS systems, payment gateways, and calendars required complex API work.

Designing for Both Guests and Staff: As both tech and non-tech users are going to book from this table booking app, it was important to balance simplicity with powerful features.

Managing Peak-Time Load: During rush hours, the system had to handle heavy traffic without slowing down, which required a scalable back-end development.

  • Real-Time Table Management

    It shows live updates on table availability to avoid double booking. It also uses smart allocation to fill tables efficiently during busy hours.

  • Multi-Restaurant Integration

    Each branch can manage its own reservations without confusion. There is a central dashboard for managers to manage everything.

  • Waitlist & Walk-In Management

    Guests can join a digital waitlist and receive instant alerts when their table is ready. The coming Walk-in customers will be added to the list and assigned the table once vacant.

  • Customer Profiles & Preferences

    The app remembers details like seating choices, favorite dishes, or special requests to provide a personalized experience.

  • Admin Dashboard & Analytics

    Restaurant managers can track peak hours, no-show customers, and dining times to plan the random customer visits and resources better.

  • Push Notifications & Reminders

    This will send reminders to customers for their reservation 30 minutes before. If the customer has a plan to cancel a booking, they can modify it through the app.
