Client Overview
The client is an Indian-based HR technology start-up that aims at automating recruiting for mid-sized businesses and recruitment agencies that lead in operating in a metro and tier-2 city.
They wanted to create a single recruitment platform for the recruiters and the job seekers. In current processes, several portals, spreadsheets and manual resume screening were used, which led to time-to-hire and the quality of candidates.
They needed a scalable application that could support large volumes of applications and multi-company hiring processes. To get started with this visionary project, they wanted a trusted development team and hired our team for that purpose under the framework of a formal NDA contract. The partnership was organized in a way that would give it long-term continuity, provide data privacy, restrict access to recruitment data, and secure product development during the process.
Business Challenges
The client had several operational constraints before product development:
- The sourcing of candidates, screening, and interview arrangements were done in separate tools.
- Hundreds of resumes have been screened manually by recruiters per role, thus taking more time.
- Low application rate through a long application form.
- Little personalization in the job specification of candidates.
- No dashboard with the performance of hiring within the teams.
- Recruiting becomes challenging when it is time to hire seasonally.
These problems had a direct effect on the speed of hiring, recruiter productivity and employer brand perception in a competitive Indian talent market.
The Big Idea
The vision was to develop a two-sided recruitment site in which:
- Recruiters get AI-based talent matching dashboards.
- Job applicants undergo one-click apply processes and job suggestions.
- Voice and conversational UIs make it easier to make a profile and find a job.
This was targeted to save time in manual screening and increase the relevance of a match between the candidates and jobs.
Solution Overview
We have created and developed a centralized recruiting application that allows:
- AI-powered applicant-job fit through structured skill mapping.
- Pipeline tracking recruiter dashboards in real-time.
- Job applications are applied with one click and automatic profile data.
- Recommendations on jobs based on user history and behavior.
- Search and update profile through voice-enabled conversational UI.
- Hiring support from multiple companies in the same administration interface.
The system enables recruiters to handle large volumes of applicants and enables the candidates to browse the opportunities with minimal interference.

Our Design & Development Process
- Research & Workflow Mapping: We evaluated the recruitment operations of Indian SMEs and staffing agencies and mapped the screening, shortlisting, and interview arrangements.
- AI Matching Framework Design: A system was developed that was a skill-weighted model, which ranked individuals according to how relevant they are to the job and their level of experience in the job, and how they behave throughout the application process.
- Recruiter Dashboard Architecture: Dashboards were developed to display hiring pipelines, match scores, pending interviews, and the performance of a team within a single interface.
- Candidate Experience Optimization: The number of steps to be applied was also minimized to make use of one-click apply and cut the rates of abandonment.
- Conversational & Voice UI Integration: Job search and guided profile creation were combined into voice-assisted features to make it easier to use and less frictional for first-time users.
- Testing & Controlled Rollout: To test the platform before full deployment, the selected recruitment teams were run through the platform to gauge the time spent in the screening, the quality of the matches, and the reaction rate of the applicants.

Challenges
- High Resume Volume Management: To fill a single job posting, recruiters had to go through 500 or more applications. Applicants were filtered and ranked by the AI dashboard, which minimized initial screening time.
- Balancing Automation and Human Review: AI suggestions were conveyed using clear scoring logic, which enabled recruiters to override suggestions.
- Reducing Candidate Drop-Off: The auto-filled forms and progressive profiling were also introduced to replace long application flows to enhance the number of people who completed the application forms.
- Supporting Diverse Job Categories: The system was made to serve IT, retail, operations, and entry-level jobs without any modification of the main working logic.
- Scalability Across Employers: Multi-tenant structure allowed each employer to have control over roles, recruiters, and data on a shared platform.
Results & Business Impact
During the initial period of operation:
- Primary resume screening time was minimized by about 40%.
- The completion rate of the application increased by 28% because of streamlined processes.
- Recruiters had 1.8 times more active job postings without having to add additional staff.
- Accuracy in shortlisting candidates by AI ranking models was enhanced.
- In six months, the adoption by several hiring teams increased.
