These days, more and more people are opting to hire destination wedding planners to cut down on the stress, time, and details they have to deal with to make sure their day is well organized. In order to facilitate this increased demand and make our clients’ lives easier, we developed the best wedding planner app for both iOS and Android. It provides intelligent checklists, budget tracking, vendor bookings, in app-chat, and guest list managers, all in one place. The app not only helps planners work more efficiently, but also gives an idea to couples how their wedding is planned and who are involved.
Business Problem
Our client is a wedding planning agency that organizes several weddings and events on a monthly basis. Previously, they were using manual tools such as spreadsheets, emails, WhatsApp chat, and hardcopy checklists to organize and manage destination wedding events. As the client base was growing, these traditional methods were no longer working. Each wedding involved a unique set of vendors, tasks, deadlines, and client expectations, but there was no centralized system to manage everything. This was leading to disorganized workflows and frequent communication gaps, as planners, clients, and vendors were all interacting across different platforms.
Also, vendor coordination was getting more time-consuming as the client had to check for availability checks, negotiations, and bookings, everything manually. For taking follow-ups and getting updates about a single thing, the client has to call and depend on manual follow-ups. Soon they realized to develop a wedding planning app to make the business operations easier.
Big Idea
The agency approached us with a distinct aim to move their wedding planning service onto a modern app, something that helps to manage weddings better and helps customers have a smoother experience. The vision was to build a one-stop, user-friendly wedding planning app that allows couples to keep on top of wedding to-dos, their guest list, and timeline in one spot. During the seasonal peak time, clients often need to handle multiple events, so this app would be able to handle multiple vendor enquiries and prioritize the customer according to the dates.
Brief Into The App
This application was to solve their problems and make their wedding planner brand more modern and tech-savvy. Planners, vendors, and clients can stay connected through the app and access digital checklists, reminders, and other budgeting tools. Stay connected. Couples can manage their guest list, track RSVPs, plan seating, and communicate seamlessly through in-app chat. It also includes a shared event timeline, calendar, and secure storage for contracts and inspiration boards. Overall, this is the all-in-one solution that simplifies wedding planning and helps families to organize events within the budget.
Our Process
As this wedding planning app is for solving real-life issues and preventing conflicts during functions, here is the process we followed:
- Discovery & Consultation: We spoke with the planning agency team and learned about their process, tools, and pain points.
- User Journey Mapping: We created various user journeys to get clarity on the agency/planner dashboard and the couple’s wedding planning flow.
- Wireframing & Prototyping: By studying the user journey, our team created clickable prototypes in Figma that the client reviewed and signed off on.
- Tech Stack selection: For the cross-platform app development, we chose Flutter, for live data, Firebase, and for Node. JS for backend logic.
- Agile Development: We developed the app incrementally in sprints, with new features available for testing on a 2-week rotation.
- User Testing: We released the minimal version of the app to test it with real couples and vendors before launch, helping us fine-tune features.
- Deployment and post-launch: We continued to monitor, fix bugs, and add features based on user feedback.

Challenges
Like every other app, a wedding planning app also has its own challenges. Here are the challenges that we encountered.
- Syncing: As everyone has events and weddings on different dates, it was a challenge to sync planners, vendors, and couples in real-time. Also, sometimes, multiple customers used to have events on the same date.
- Customization: No two weddings are the same, with different rituals, styles, and guest expectations.
- Vendor Listing & Filtering: A searchable vendor list, with the ability to filter the results dynamically.
- Privacy & Permissions: Specifying access parameters for data, so that the appropriate people can see, edit, and view certain information.
